Job Description
We are recruiting for an Administrator on behalf of one of our well known clients. You will provide secretarial and administrative support to the Legal Department and up to 2 other Directors with a proposed split of approximately 75% Legal Department and remainder for other Directors. Demonstrating excellent IT and customer service skills, diligent, organized and a team player.
Main Duties&Responsibilities
Director Support
- Maintaining and managing their day to day meetings/travel plans
- Devising and maintaining office systems, including data management and filing
- Making arrangements for meetings and events- room booking, invites, lunch arrangements.
- Completion of monthly expenses on Concur, to include calculating mileage for travel
- Process invoices via the Purchase Order Payment route in SAP
Legal:
- Handling correspondence (emails, letters, reports etc) and drafting responses (where appropriate)
- Support lawyers and Paralegal with administrative tasks including typing and formatting documents, scanning, copying and filing.
- Maintain and update Legal Archives/Property Deeds (using an external provider for off-site storage)

- Seeking Property Deeds when requested by the Property Solicitors, Estates & National Reserves Team.
- Manage external invoices (record on Smartsheet) – obtain WIP reports (when required), seek internal approval then request invoices to be submitted to outsourced support centre. Liaise as necessary with the support team to ensure queries are quickly resolved.
Licences and Qualifications
Minimum 5 years’ experience in a similar role for an Executive Director in a large commercial business. Strong preference for candidates who have experience of working in a secretarial capacity at a law firm.
Excellent word processing and IT skills, including knowledge of a full range of software packages
